Maintenance Resource Management: Tasks (Level 3)

  • Maintaining information about maintenance personnel 
    • What information about the personnel must be processed and for what purpose?
    • Where is the data processed and who is responsible for it?
    • Who is responsible for data privacy compliance ?
    • Are competence profiles of maintenance personnel maintained (e.g. Skill Matrix)?
    • To which companies / plants / equipment is the maintenance staff assigned?
    • Are there fixed / flexible assignments?
    • Do availabilities have to be mapped in the system (shift, vacation, training plans)?

 

  • Maintaining information about equipment used in maintenance and equipment capability tests
    • What equipment is available and how is it managed?
    • Are there interfaces to the tests?
    • Who is responsible for material management?
    • How should which documents containing which information be archived?
    • How are these documents kept up-to-date?
    • How does a Management of Change work?
    • Is there stock/replacement management, with ordering measures?
    • Are there classifications of equipment, which lead to special requirements (e.g. relevant plant section according to BImSchV (Failure V) e)?

 

  • Maintaining information about maintenance supplies
    • What auxiliary materials and supplies are available and how are they managed? 
    • Are there minimum stocks and automatic ordering measures (interfaces to purchasing)?
    • Who is responsible for their administration?
    • Which documentation has to be archived for the auxiliary materials and supplies (e.g. safety data sheets, technical documentation)?
    • Do storage locations have to be assigned with special properties?

 

  • Maintaining information about the health and state, assignment, and availability status of resources
    • Where and how is this information maintained?
    • Who is responsible for the data?
    • What are the data sources?

 

  • Coordinating and monitoring contracted work
    • Is there a systematic external company management?
    • Who is responsible for which areas?
    • How is the work preparation done? Does it concern standard work or must a scope of work be defined?
    • How is the work of external companies planned and monitored?
    • What documentation must be exchanged (e.g. quantity structure, work permits, risk assessments)?
    • How is the billing of the work done?
    • Do tools/systems exist that support this?

 

  • Supervising requested maintenance
    • Are there any standard processes that must be followed?
      • Work instruction/releases
      • Do separate risk assessments have to be carried out and documented?
      • Safety requirements
      • Approval of the work carried out
      • Information to affected production areas
      • Does proof of the execution of these processes have to be provided in electronic or handwritten form?
      • Who is responsible for monitoring the maintenance work?
    • How does a handover between the involved trades take place at the beginning and after completion of the work (maintenance, operation, external company)?
